How we handle your information when you apply for a role

1. Who we are
Salespuzzle Limited (company number 17013101), Moorock, Pikes Hill Avenue, Lyndhurst, SO43 7AX, United Kingdom.
SalesSelect is our specialist sales recruitment service. When you apply for a role through us, Salespuzzle Limited is the data controller for the information you give us. That means we decide what we collect, how we assess it, and which employers we put you forward to.
We are an employment agency under the Employment Agencies Act 1973. We introduce candidates to employers who then employ them directly. We never charge you anything — that is both our policy and the law.
This notice covers candidate information only. Our general Privacy Policy covers our website and our software customers; our Data Processing Addendum covers data our customers upload to our platform. Those are different relationships, and this notice governs yours.

2. What we collect
When you apply, you give us:
- your name and email address, and a phone number if you choose;
- optionally: your LinkedIn profile and the general area you live in;
- optionally: your current job title and current employer;
- optionally: your salary expectation and notice period;
- a right-to-work answer — simply yes, no, or "I need sponsorship".
We do not ask for passports, visas or any documents at this stage. Those belong with an employer if you reach offer stage;
- optionally: a short statement about why the role interests you;
- your CV, and a covering letter if you send one.
We also record:
- which advert you applied through, and when;
- that you confirmed you had read this notice, which version, and when;
- whether you asked us to keep your details for future roles;
- if you confirm you want to be put forward to a particular employer — that
confirmation, and when you gave it;
- which pages of our job listings you looked at. We scramble your IP address
one-way so we cannot work out who you are from it.
What we deliberately do not ask for
We do not ask your date of birth, age, sex, gender, marital status, nationality, ethnicity, religion, health, disability or sexual orientation. We do not ask your current salary — only what you are looking for.
If your CV happens to mention any of these things, our system is built to discard it rather than take it into account, and we will not pass it to an employer.
3. Why we use it, and what allows us to

Where we rely on legitimate interests, you have the right to object — see §8. If you object to us representing you, we will stop.
4. How we assess your application — and where AI fits
We want to be straightforward about this, because it affects you and because most recruitment notices are vague about it.
We use AI to help read your application
When we assess you against a role, your CV, covering letter and application answers are sent to an AI model. It reports, for each requirement the employer has given us, what your documents do and do not show.
Before anything is sent, we remove your direct contact details — email address, phone number, postal address and profile links. Your career history stays, because that is what is being assessed.
What the AI does not do
- It does not decide anything about you. It cannot reject you, rank you or
score you. Our system is built so that it is not able to produce a score at all.
- Everything it says is checked by our software against the actual words in
your documents. If it claims something your CV does not support, that claim is automatically downgraded or thrown away.
- A person decides. A SalesSelect consultant reads the evidence and makes
the recommendation. No application is ever rejected automatically by a machine.
This does mean we build a picture of your experience and capability from your application — what the law calls profiling. We think you should know that plainly rather than find it buried in a definition.
If we interview you
A person interviews you. Our system may suggest how to word a question, but your answers are rated by the consultant who interviewed you, and the result is worked out by fixed arithmetic from those ratings. It is not generated by AI.
The Sales Persona assessment
We may invite you to complete a Sales Persona assessment. It describes how you naturally sell. It is not a test, there are no right or wrong answers, and no selling style is better than another.
We do not use it to judge whether you are a good or bad candidate, and we never predict your performance from it. We use it only to see whether your approach matches what a particular employer has told us they are looking for. You can decline, and declining will not count against you.
Where this processing happens
Your CV and application are stored in the United Kingdom (London).
When we use AI to help read your application, the text is processed by our AI provider in the United States. We have specifically chosen to route this processing to the United States rather than leave it unspecified, so that we can tell you where it happens. The transfer is covered by the standard data protection clauses in our contract with that provider, which are designed to give your information essentially the same protection it has in the UK. You can ask us for details of those safeguards.
We also use an email provider based outside the UK to send you messages about your application. Only your first name and email address are shared for that purpose — never your CV or your assessment.
5. Sharing your information with employers
This is the part candidates care most about, so it is the part we are clearest about.
We will not tell an employer who you are without asking you first
- When we first discuss candidates with an employer, you are anonymous. They
see a summary of your relevant experience and how you match their requirements — with no name, no contact details, no current employer and no CV.
- **Before we identify you to a specific employer, we ask you, for that
employer. You confirm that you would like us to put you forward for that role. You can say no**, and saying no to one employer does not affect any other role.
- We tell you which employer it is before you decide. Some employers ask us
to keep their identity confidential early in a search — but we will always tell you who they are before you are offered the position, and we confirm it in writing.
Your current employer — a specific protection
We will not share your information with your own current employer without asking you first and getting your agreement. If an employer we are recruiting for turns out to be your current employer, or part of the same group, we will stop and come to you before anything is shared. We will not make representing you conditional on you agreeing to that.
What an employer sees once you have agreed
A professional profile that we write: your relevant experience and what we were able to verify, how you fit the role, a summary of your interview, our assessment including any reservations we have, and whether your approach matches what they asked for.
What an employer never sees
- your contact details — they come to us;
- direct quotations from your CV;
- our internal notes;
- how the AI works or what it said;
- your Sales Persona result, your persona type, or any assessment scores;
- our interview questions.
Once an employer has your information
They are responsible for it in their own right. We require them by contract to use it only for that role, not to pass it to anyone else, to keep it secure, and to delete it when it is no longer needed.
If you want to know what an employer holds about you, you can ask them directly. We will tell you which employers received your profile and when.
We never sell your information, and we never use it for advertising.
6. Others who handle your information for us

They act on our instructions and cannot use your information for their own purposes.
7. How long we keep it

The law also requires us to keep certain recruitment records for at least a year (Regulation 29 of the Conduct of Employment Agencies and Employment Businesses Regulations 2003).
If you ask us to stop contacting you, we keep a one-way scrambled version of your email address — and nothing else — so we can recognise and honour that request. We cannot read it or recover your address from it.
8. Your rights
You can ask us to:
- give you a copy of what we hold about you;
- correct anything that is wrong;
- delete your information;
- limit what we do with it;
- stop processing we base on our legitimate interests — including stopping
representing you;
- withdraw consent you gave us (for example for the talent pool).
Where a decision significantly affects you, you can also ask for a person to look at it, tell us your side, and challenge it.

If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk.
9. How we keep it safe
Your CV and covering letter are kept in private storage that is not publicly accessible. Only the small number of Salespuzzle staff who run the recruitment service can reach them, download links expire after one minute, and every access is logged.

10. Changes to this notice
If we change this notice we publish a new version and keep a record of which version you were shown — so we can always tell you exactly what you were told.
